The Issaquah Salmon Days Festival, located in the heart of Historic Downtown Issaquah, is the annual Fall celebration of the salmon returning to our lakes, streams and downtown hatchery. The weekend celebration attracts more than 150,000 visitors as the Festival includes exhibits, Arts & Crafts booths, a Grande Parade, Foods of the World, the annual certified 5K and 10K runs, the Field of Fun with activities for all the kids, and four stages of continuous live entertainment. Free events and activities are planned for all ages all weekend long. Salmon Days is Washington’s signature Festival for the first weekend in October every year.

Salmon Days is also a time when non-profit organizations who serve the Issaquah community organize major fundraisers while providing much needed services, fun activities or information and education opportunities for Festival visitors. For 2008, Salmon Days looks forward to working with more than 60 non-profit organizations in these efforts. However, with the popularity of Salmon Days and the growth around Issaquah, the Festival also receives an extremely high number of non-profit participation requests. Unfortunately, our capacity does not allow for inclusion of all applicants. Please note that application or prior participation does not guarantee selection for the current year. Due to the high demand for booth spaces, the Festival can only accept applications from non-profits who are located in Issaquah and/or who are a significant provider to the Issaquah community for a particular service. Please evaluate your qualifications before submitting an application.

HOW DO I KNOW IF I NEED TO FILL OUT A NON PROFIT VENDOR APPLICATION? The Salmon Days Special Events Permit and Festival Footprint encompasses the Issaquah City Limits during the 2 day event. If you are a non profit organization and want to participate with: an Activity, selling Merchandise, Food or Beverage, providing Information or Promotion, or Pay Parking, you need to apply to Salmon Days. If you are a for profit business wanting to assist a non profit organization in a fund raising Activity, selling Merchandise, Foor or Beverage, providing Information or Promotion, or Pay Parking, you need to apply to Salmon Days.

    Non-Profit Categories
    There are five (5) Non-Profit application categories for Salmon Days 2008.

  • Activity
  • Merchandise
  • Food and Beverage
  • Information/PR
  • Pay Parking
  • A booth may have activities that are in more than one category. Vendor must complete all application sections that apply to the activity offerings of their booth space. For example, if a booth has a children’s activity AND is giving away a promo item, the Vendor must complete the Activity and Children’s Merchandise sections of the application.

    Booth Activities
    All activities must be consistent in content, form and quality with the description you provide and with your photos reviewed during Vendor selection.

    Booth Fee
    The Non-Profit Fee includes a Booth flat fee of $75 and 10% commission on any Net Sales (gross sales less cash expenses). A check or money order for your booth fee must accompany your application. This commission amount is due and payable by, October 17, 2008. The Booth fee is returned July 25, 2008, if Vendor is not selected.

    Booth Space and Structure
    Booth space sizes are associated with your Booth Flat Fee and BBQ Fee. Vendors must stay within the booth space, including side awnings, walkways, etc. Vendor is responsible for providing their booth structure. No stakes may be used in any park or grass area. No items, signs, banners or booth anchor lines are to be attached to trees or shrubs. The booth structure must be self-standing and, if appropriate, weighted by means that are not a trip hazard or affixed to the ground or any other structure. Vendor must be prepared with a proper booth structure in case of wind or inclement weather.

    Cancellation
    Booth fees are refunded if the Non-Profit Vendor's cancellation request is received before July 31, 2008.

    Certificate of Insurance
    Accepted Vendors must provide the Festival with a Certificate of Insurance, by August 4, 2008, naming the Issaquah Chamber of Commerce and the City of Issaquah as additional insureds as pertains to your participation in the Issaquah Salmon Days Festival.

    Commission Payment & Sales Reporting
    Sales reporting and commission payment must be received at the Festivals Office by October 17, 2008.

    Electricity
    Electricity is generally not available for Non-Profit Vendors.

    Generators are only allowed if pre-approved at Vendor Selection. Vendor must provide sufficient information about the need for electricity and the type of generator on their application. Generators must be placed on a hard surface: concrete, gravel or plywood.

    Food Operations
    Vendor must include a complete Menu/Price List with their application. Only menu items (at prices) listed on the Vendor application may be sold at the Festival. Changes or additions are only allowed with pre-approval by the Festival prior to August 22, 2008. Menu items in glass containers are not allowed.

    The Salmon Days Festival reserves the right to restrict certain food items or beverage brands due to contractual exclusivity with Festival Spawnsors. Vendors will be notified of any such restrictions that may conflict with their menu offerings before acceptance. Vendors who sell soft drinks or bottled water as part of their regular menu will have the opportunity to offer the Salmon Days Ohfishal Beverages in their booth and to source the product from an on-site truck.

    Vendor must have appropriate King County Department of Public Health permits. Questions about Health Dept. permits, should be directed to Leonard Winchester, 206-296-9842, email leonard.winchester@metrokc.gov. Do not contact the Salmon Days office with these questions as we cannot advise you on Health Dept. regulations.

    After acceptance, Vendor must submit a Booth Layout drawing for approval to Eastside Fire & Rescue (EFR). Vendors must adhere to EFR Regulations for Temporary Tents and Canopies, Cooking Booths, and BBQ Cooking at Festivals. Fires, including BBQ’s, must be completely extinguished at the end of each day.

    Vendors must be prepared to serve disabled customers who may not be able to reach your window. If a customer comes to a your booth in a wheelchair, the Vendor needs to have an employee who can go out to take the order, collect payment and deliver the food order to the customer.

    An ice vendor will be onsite for Vendors who need to purchase ice for their booths. Salmon Days does not provide refrigerated trucks for cold storage.

    Garbage & Recycling
    Vendor is responsible for a clean booth area, free of debris, for providing a trash can for inside the booth and for disposing of all garbage and recyclables as directed by the Festival. Vendor is responsible for placing non-recyclable trash in dumpsters rather than the Festival garbage cans. The Festival recycles cardboard, tin, PET plastic, aluminum and glass. All cardboard much be broken down. Vendor is responsible for bringing an ashtray if Vendor is a smoker.

    If booth space is not left clean and free of debris at the end of the Festival, Vendor must pay a $100 Booth Clean-Up Penalty.

    Merchandise
    All merchandise must be consistent with the photos/slides submitted with the application and reviewed during Vendor selection. The Festival reserves the right to close any booth not adhering to these regulations.

    Sales of Issaquah Salmon Days Festival or Issaquah souvenirs are not permitted unless noted on the application and approved at the time of Vendor selection.

    Local Lodging Accommodations
    A listing of local accommodations will be included in the Acceptance Packets mailed July 25, 2008 and will be posted here on the website.

    Notification of Status
    All applicants are notified of acceptance status July 25, 2008. Information regarding the status of Non-Profit applications will not be given out prior to the receipt of the Notification Letter.

    Parking
    There is no reserved parking for Non-Profit Vendor vehicles. Vendor is responsible for securing their vehicle in a legal parking space off the Field of Fun. Parking is available on side streets around the Festival area. Also, there are pay parking lots around the Festival perimeter managed by local non-profit groups. Cost is usually $5 per day.

    Photos
    Non-Profit Vendors are required to submit one (1) current color photo of their Booth and one (1) photo which represents the products/activities the Vendor intends to offer at Salmon Days.  Slides will not be accepted.

    Photos are preferred and should be labeled on the BACK with the Vendor’s name and business name.

    Product/activity photos are only returned to the Applicant if a legal size, self-addressed stamped envelope with correct postage is included with the application. Booth photos are retained by the Festival for all Vendors selected for the Festival.

    Restrictions
    Vendors are not allowed to 'rove' with their merchandise at any time.

    No alcoholic beverages, loud music, televisions or 'hawking' are allowed within or in the vicinity of your Booth.

    The Issaquah Salmon Days Festival name, logo, and theme are trademarked. Any use must be pre-approved by the Festivals Office.

    Give-away items (pins, pens, pencils, etc) must be submitted with the application and approved at the time of Vendor selection. Balloons may not be given away under any circumstance.

    Sales Tax
    The Festival purchases a temporary city business license from the City of Issaquah for each Vendor. Vendors are responsible for collecting, reporting, and paying WA state sales tax to the State of Washington under Sales Tax Code #1714.

    Security
    Booth structure and contents, including inventory, are the responsibility of the Vendor. The Festival, Chamber of Commerce and the City of Issaquah do not assume any responsibility for injury to persons, or loss or damage to any property of the Vendor, including theft, accident or acts of God.

    Selection
    Applications are only accepted from non-profit organizations who are located in Issaquah and/or who are a significant provider to the Issaquah community for a particular service. Application and past participation does not guarantee acceptance. The Issaquah Salmon Days Festival reserves the right to refuse any application. Notification letters regarding acceptance will be mailed July 25, 2008.

    Set Up & Take Down
    Vendors will be advised of the load-in time after acceptance. Set-up must be complete and vehicles must be removed from the street by 8:30 am on Saturday and Sunday. Late arrivals must walk in their supplies.

    Load-out begins after 6 pm on Sunday, October 5th. Vehicles are allowed access as soon as the Issaquah Police Dept. declares that it is safe to open the streets. All booths, vehicles and Vendor debris must be removed from the Festival grounds by 8pm, Sunday, October 5th.

    Signage
    Vendors must provide their own signs. Signs must look professional. Handwritten signs are not allowed. Only the Booth Name, as stated on the application, and Ohfishal Salmon Days Food Spawnsor names are allowed on the signage. The Issaquah Salmon Days Festival name, logo, and theme are trademarked. Any use must be pre-approved by the Festivals Office.

    Vendors may not advertise outside of their booth space including use of rovers, flyers and sandwich boards.

    Trailers
    If your booth structure is a trailer, the trailer footprint, including hitch, must fit within the Booth Space allotted by the Festival.

    Washington State UBI
    Washington State requires a UBI (Uniform Business Identifier). To obtain a UBI, call Mark Bader at 1-866-248-1287 Ext. 3 or email:  markbad@dor.wa.gov  Website: www.dor.wa.gov. Applications cannot be accepted without an UBI.

    Welcome Packets
    Non-Profit Vendor welcome packets are mailed in mid-September with the move-in details including booth assignments, location maps, and load-in instructions.
