Memorial Park becomes the 4 acre Field of Fun!

The Issaquah Salmon Days Festival, located in the heart of Historic Downtown Issaquah, is the annual Fall celebration of the salmon returning to our lakes, streams and downtown hatchery. The weekend celebration attracts more than 150,000 visitors as the Festival includes hatchery tours and exhibits, over 255 Arts & Crafts booths, a Grande Parade, Foods of the World, the annual Horseshoe Tournament and the annual certified 5K and 10K runs, the Field of Fun with activities for all the kids, and three stages of continuous live entertainment. Free events and activities are planned for all ages all weekend long. Salmon Days is Washington's signature Festival for the first weekend in October every year.

Kids, and kids at heart, reign supreme. The objective of the Field of Fun is all about interactive hands-on fun. Salmon Days strives to present the best and most diverse selection of activity offerings for kids of all ages.

Field of Fun Vendors will be selected based on originality, turnover capacity and appeal to children and their parents and past history with Salmon Days. Only a limited number of booths are allowed to sell or advertise children's merchandise. Past participation does not guarantee acceptance; however, favorable past participation is factored strongly in the selection process. We encourage you to compile your best Complete Application Package for Salmon Days 2010. And don't forget your photos!

Application Deadline

All applicants must submit a Complete Application Package by June 1, 2010.

Field of Fun Categories

There are four (4) Field of Fun categories for Salmon Days 2010.

A booth may have activities that are in more than one category. Vendor must complete all application sections that apply to the activity offerings of their booth space. For example, if a booth has a children’s activity AND is giving away a promo item, the Vendor must complete the Activity and Children’s Merchandise sections of the application.

Booth Activities and Merchandise

All activities and merchandise must be consistent in activity, content, form and quality with the description you provide and with your photos/slides reviewed during Vendor selection.

Merchandise that is not allowed at Salmon Days, in coordination with the Issaquah Police Dept., includes toy weapons (guns or knives), caps, stink/smoke bombs, invisible ink, silly string, lasers, or marshmallow shooters. (Vendors will be notified if any other items are added to this list with as much notice as possible.) The Festival reserves the right to close any booth not adhering to these regulations. In addition, if the Vendor offers any types of items that were not listed on their application, the Vendor will be asked to remove these items immediately and the Vendor will face possible closure of their booth.

Booth Fee

The Field of Fun Fee includes a Booth flat fee of $75 and 15% commission on the portion of gross sales (net of sales tax) that exceeds $500. A check for your Booth fee must accompany your application. This commission amount is due and payable at Checkout on Sunday, Octber 3rd. The Booth fee is returned if Vendor is not selected.

Booth Space and Structure

Booth space sizes are associated with your Booth Flat Fee and BBQ Fee. Vendors must stay within the booth space, including side awnings, walkways, etc. Vendor is responsible for providing their booth structure. No stakes may be used in any park or grass area. No items, signs, banners or booth anchor lines are to be attached to trees or shrubs. The booth structure must be self-standing and, if appropriate, weighted by means that are not a trip hazard or affixed to the ground or any other structure. Vendor must be prepared with a proper booth structure in case of wind or inclement weather.

The Festival’s goal is to place returning Field of Fun Vendors in their same location, whenever possible. New Vendors are placed in the remaining spaces, as is best for the Field layout.

Cancellation

Booth fees are refunded less a $20 processing fee if the Field of Fun Vendor's cancellation request is received before July 30, 2010.

Certificate of Insurance

Accepted Vendors must provide the Festival with a Certificate of Insurance, by July 24, 2010, for two million ($2,000.000) dollars naming the Issaquah Chamber of Commerce, Issaquah Salmon Days Festival and the City of Issaquah as additional insureds as pertains to your participation in the Issaquah Salmon Days Festival.

Commission Payment & Sales Reporting

All Vendors must report Salmon Days gross receipts and make their commission payment at Checkout, Sunday, October 3rd, 2010.

Electricity

Electricity is generally not available for Field of Fun Vendors except by special case and must be pre-approved at time of Vendor selection.

Generators are only allowed if pre-approved at Vendor Selection. Vendor must provide sufficient information about the need for electricity and the type of generator on their application. Generators must be placed on a hard surface: concrete, gravel or plywood.

Garbage & Recycling

Vendor is responsible for a clean booth area, free of debris, for providing a trash can for inside the booth and for disposing of all garbage and recyclables as directed by the Festival. Vendor is responsible for placing non-recyclable trash in dumpsters rather than the Festival garbage cans. The Festival recycles cardboard, tin, PET plastic, aluminum and glass. All cardboard much be broken down. Vendor is responsible for bringing an ashtray if Vendor is a smoker.

If Booth space is not left clean and free of debris at the end of the Festival, Vendor must pay a $100 Booth Clean-Up Penalty.

Horses

Horses are only permitted in a designated area of the Park, with pre-approval from the Parks Department.

Local Lodging Accommodations

A listing of local accommodations will be included in the Acceptance Packets mailed July 2010, and will be posted here on the website.

Notification of Status

All applicants are notified of acceptance status July 2010. Information regarding the status of Field of Fun applications will not be given out prior to the receipt of the Notification Letter.

Parking

There is no reserved parking for Field of Fun Vendor vehicles. Vendor is responsible for securing their vehicle in a legal parking space off the Field of Fun. Parking is available on side streets around the Festival area. Also, there are pay parking lots around the Festival perimeter managed by local non-profit groups. Cost is usually $5 per day.

Photos

Vendors are required to submit three (3) current color photos which represent the products/activities they intend to offer at Salmon Days.

Photos are preferred and should be labeled on the BACK with the Vendor’s name and business name and numbered to correspond to the descriptions on the Vendor’s application.

Field of Fun Vendors are also required to submit a current color booth/activity photo.

Photos are only returned to the Applicant if a legal size, self-addressed stamped envelope with correct postage is included with the application. Booth photos are retained by the Festival for all Vendors selected for the Festival.

Restrictions

Vendors are not allowed to 'rove' with their merchandise at any time.

No alcoholic beverages, loud music, televisions or 'hawking' are allowed within or in the vicinity of your Booth.

The Issaquah Salmon Days Festival name, logo, and theme are trademarked. Any use must be pre-approved by the Festivals Office.

Sales Tax

The Festival purchases a temporary city business license from the City of Issaquah for each Vendor. Vendors are responsible for collecting, reporting, and paying WA State sales tax to the State of Washington under Sales Tax Code #1714.

Security

Booth structure and contents, including inventory, are the responsibility of the Vendor. The Festival, Chamber of Commerce and the City of Issaquah do not assume any responsibility for injury to persons, or loss or damage to any property of the Vendor, including theft, accident or acts of God.

Selection

Applications are reviewed for originality, turnover capacity, appeal to children and parents and past history with Salmon Days. Only a limited number of booths are allowed who sell children’s merchandise. Salmon Days does not accept product samples. Application and past participation does not guarantee acceptance. The Issaquah Salmon Days Festival reserves the right to refuse any application.

Set Up & Take Down

Vendors will be advised of the load-in time (Friday afternoon, or early Saturday morning, ) after acceptance. Set-up must be complete and vehicles must be removed from the street by 8:30 am on Saturday and Sunday. Late arrivals must walk in their supplies.

The Field of Fun is on a four acre grass field in Memorial Park, City of Issaquah park. Vendors are allowed to drive vehicles onto this field at low speeds. However, in the case of severe wet weather immediately prior to the Festival, the City of Issaquah has the authority to restrict or prohibit vehicle traffic on the Park field if this traffic will damage the field surface. Therefore, severe wet weather immediately prior to the Festival may affect load-in and set-up, requiring access only on foot. In addition, this type of severe weather may cause the Festival layout to be altered, so that vehicles are not positioned on the Field.

Load-out begins after 6 pm on Sunday, October 3rd. Vehicles are allowed access as soon as the Issaquah Police Dept. declares that it is safe to open the streets. All booths, vehicles and Vendor debris must be removed from the Festival grounds by 8pm, Sunday, October 3rd.

Signage

Vendors must provide their own signs. Signs must look professional. Handwritten signs are not allowed. Only the Booth Name, as stated on the application, and Ohfishal Salmon Days Food Spawnsor names are allowed on the signage. The Issaquah Salmon Days Festival name, logo, and theme are trademarked. Any use must be pre-approved by the Festivals Office.

Vendors may not advertise outside of their booth space including use of rovers, flyers and sandwich boards.

Trailers

If your booth structure is a trailer, the trailer footprint, including hitch, must fit within the Booth Space allotted by the Festival.

Washington State UBI

Washington State requires a UBI (Uniform Business Identifier). To obtain a UBI, call Trina Grey at 206-956-3090 or fax: 206-956-3037; email trinag@dor.wa.gov or www.dor.wa.gov. Applications cannot be accepted without an UBI.

Welcome Packets

Field of Fun welcome packets are mailed in mid-September with the move-in details including booth assignments, location maps, and load-in instructions.
